Board Meetings - Audio, Video, Hybrid?

    Hi GPC Colleagues,

    I'm curious what others are doing in terms of technology for their regularly scheduled Board and Committee meetings.  I have a few questions if anyone cares to chime in.

    1.  Are you using Audio, Video-Conferencing or a combination of both?

    2.  If you are using video conferencing for your Board - what system? We have been using Cisco Webex and GoToMeeting for staff but i have not tried it at the Board level.  

    3.  Are you continuing with all of your committee meetings?  I have heard that some Board's have 'scrapped' their committee meetings for now and pushed everything to the Board  (with a heavier consent agenda).

    Hi Stacey, 

    1.  We are using both Audio and Video-Conferencing. 

    2.  We are using Skype for Business for now but are looking at Zoom as we need bilingual capability for one client. 

    3.    Yes, we are continuing with all of the committee meetings keeping in mind that the Board and Committee Chairs have adapted consequently and are mindful that 4-5+ hours on a conference call is not ideal for directors. We have also postponed a few items to May/June in the hopes that life will come back to normal.

    We are also struggling with this. We want to use video conferencing. Internally we use MS Teams, which works great, but can't get a straight answer on whether this can be used with external people who don't have a license.

    I tested ZOOM which works great, but our IT department has security concerns over for the Board level.

     Would love to hear what everyone else is using! Thanks for the question.

    Hi Stacey,

    We're using a combination of audio and video.  The choice depends on the meeting.  For video, we went with Zoom.  I had IT investigate and set that up so they could assess and ask any questions they felt they needed to ask (they had no concerns).  We keep access to the meetings pretty tight and don't permit file sharing through the tool (screen sharing is okay). 

    We're continuing with our normal schedule of meetings.

    Great question! We are using Microsoft Teams for the Board meeting. While we use it internally, there is a way for external users to connect. I personally tested it out with each of our external directors and found success. Our first fully virtual board meeting is scheduled for April 8. I'll let you know how it goes using Teams.

    Thanks Jessica - we have since discovered how to use MS TEAMS with external people without a license as well and are testing before our meetings on April 22-23. Look forward to hearing how it went for you. (we use it extensively internally)

    Hello,

     I am using GoToMeeting for my Committee/Board meetings. The March meetings were very successful using this platform.

    I posted all the materials in the portal but on the agenda I coloured the items that needed to be dealt with during this quarter. This allowed the Chair to focus the meeting on the necessities and reduce the time on the video call. We will hold an additional meeting in April as a follow-up on the deferred items.

    If you are going to use video conferencing, my recommendation is to complete multiple tests in advance. I tested with the Chairs, CEO, and older directors who finding technology challenging.

    We are using Skype for Business for all board and committee meetings.  We also have Webex available but it seems similar in functionality so we're sticking with Skype for Business (not going through the learning curve twice if I don't have to!).

    We don't use video but that wasn't really a deliberate decision -- just that no one turned it on and now that's become the norm.  Personally, I think it might increase engagement but it might also create distraction.

    Instead, the presenter (usually me) shares my desktop which contains the meeting materials on Boardvantage.  I know BV has a presenter mode but it seems sluggish and I'm wary of mixing technologies.  The downside is my computer is essentially disabled during meetings while I present.

    We are using video and audio conferencing for board and committee meetings. We just transitioned internally from Skype to Microsoft Teams so have done the same for the Board. I organized a test meeting to help director feel familiar with the technology before our first board meeting. It helped work out some of the technical issues.

    We are continuing with committee meetings. Having just adopted a new committee structure we're eager to keep everything moving forward.

    We have been using audio/video Skype for our board and committee meetings, but are considering moving to Teams, as we can obtain licenses simply and some of our directors are more comfortable with it than Skype.

    We've continued with our committee activities, but I have noticed a decreased amount of conversation at both the board and committee level due to the virtual meeting format.

    We also used Skype at our AGM (video of the chair and CEO only), to general success.
